Information We Collect
To operate the hostel lawfully and keep residents safe, we collect:
- Identity & personal details full name, parents’/guardian’s names, date of birth, gender, blood group, nationality, and a passport photo.
- Government ID proof your Aadhaar number and an image/scan of your Aadhaar card, as required for hostel/PG tenant records.
- Contact & address mobile number, alternate/parent number, email, and permanent address.
- Occupation details your college or employer and course/designation.
- Guardian & emergency contacts for safety and communication with family.
- Stay & account details assigned room, check-in date, duration, login email and password (stored for account access), and payment/billing records.
- Vehicle details vehicle number, where provided, for parking and security.
How We Use Your Information
- To verify your identity and process your resident registration and room allotment.
- To complete the statutory police tenant verification mandated for hostels and paying-guest accommodation.
- To manage billing, fees, deposits, food/mess, and maintenance requests.
- To contact you or your guardian regarding your stay, safety, dues, or emergencies.
- To maintain visitor, attendance, and security records within the premises.
- To comply with applicable laws and lawful requests from authorities.
Sharing & Disclosure
We do not sell or rent your personal information. We share your submitted details and ID proof with the local police and government authorities where required by law for tenant verification and public safety, and with service providers who help us run the hostel (strictly for that purpose). We may disclose information when legally compelled to do so.
Data Storage & Security
Uploaded images are compressed and stored to support your registration and verification. We apply reasonable administrative and technical safeguards to protect your information against unauthorised access, loss, or misuse. No method of storage or transmission is 100% secure, so we cannot guarantee absolute security, but we work to protect your data at all times. Please keep your login password confidential.
Data Retention
We retain resident records, including after a resident vacates, for as long as needed to meet legal, statutory, accounting, and security obligations. When information is no longer required, we take steps to securely delete or anonymise it.
Your Rights
You may request to access, correct, or update the personal information we hold about you by contacting the hostel management. Some information (such as statutory ID and verification records) must be retained by law and cannot be deleted on request. Providing accurate information is a condition of admission.
